Cluttons are looking for a proactive administration coordinator with strong interpersonal skills to join a busy Commercial Valuation team. Situated in the Dubai office, the role will be managing and supporting our valuers' workload and schedules, ensuring a smooth running of the back office administrative systems and processes.
Provide backup assistance to team members, multi-tasking well between different projects and work patterns
Ensuring smooth running of the department and data management processes
Be the first point of contact to the department, taking calls and dealing with enquiries in the first instance, or as required
Discussing and working on fee quotes / proposals / tendered documents promptly, efficiently and dilegently
Filing and record keeping in a timely and organised manner, in line with RICS guidelines
Coordination of inspections and collecting relevant information for valuations upon confirmation of instructions
Maintenance of databases, trackers and client information
Assisting with monthly invoicing of fees and follow up of payment
Assisting the team members with preparing and submitting reports; content compilation, formatting and editting
Support other general admin jobs, including extending support to other teams within the office as and when requested
Educated to Bachelor level
Excellent MS Office skills & knowledge
Strong admin and interpersonal skills
Excellent written and verbal communication skills in English with a keen eye for detail
Proactive with the ability to work under pressure to meet deadlines
Minimum 2 years local work experience in an admin role
Experience in a Real Estate environment preferred
Flexible, reliable and eager to learn/develop own Real Estate knowledge
