This position will provide receptionist duties to Pearson VUE, Pearson Education and Certiport within the Arjaan Dubai Office.

Key Responsibilities
To assist with the day to day running of Reception as required
To assist the Facilities Team when required in all their duties

Key Activities

Welcome visitors at Reception and announce them to the respective team member.
Receive deliveries, check the delivery note and sign off.
Support the management team by preparing conference rooms for visits – including refreshments & catering for lunch orders and meetings.
Coordinates and arranges meetings – including refreshments & catering for lunch orders and meetings, preparing agendas, reserving and preparing facilities. Recording and transcribing minutes of meetings
Support the team by taking the minutes of meetings as required.
First point of contact with suppliers and building facility. Help in raising purchase orders, quotations, suppliers’ contracts, etc.… In addition to coordination of suppliers visits when needed.
Some physical work might be required in handling and moving deliveries, consignments and furniture.
Assist, as needed, in projects and client services activities
Ensures knowledge of staff movements in and out of organization
Work with the Marketing team in UK, US & Dubai, to issue business cards as well as act as a liaison for exhibitions and events (such as GITEX), in addition to the office branding.
The PRO (Public Relations Officer) for Pearson VUE in TECOM Government, process all the resident visas, employment contract and the Labour Cards on behalf of the Company.
Take, submit & collect all necessary documentation in order to organize all Employee official paperwork.
Provide all salary requests such as salary certificate, Salary transfer letter, NOC Letter for Pearson VUE employee, and work with in-country HR team from Pearson Education for relevant signature and the stamp.
Work with In-country Pearson Education HR team and UK HR team to process Medical Insurance for employees.
Work closely with Accounts Payable on generating payments and expenses and to make sure all the bills to be paid on time.
Provide Monthly analysis of budget activity for Dubai office and discuss it with the manager.
Provide reports to Middle East clients when needed to support client services.
Provide different employees related reports to support operations.
Provide and maintain regular checks, documents and policies to support Health & Safety, and Business Assurance policies and audits.
Essential/ Desirable Experience & Qualifications
Extensiveknowledgeand experience in an office administration role is essential.
Excellent Computer Skills such as: MS Office Word, Excel & Internet, share point, etc..
Excellent telephone manner
Acquainted with (or willing to learn) basic maintenance on copier, fax and printer machines.
Enthusiastic, energetic and customer focused team player.
Effective time management and organisational skills.
Flexible and adaptable team member who can perform well in a fast paced and sometimes pressurised environment
Customer service orientation with excellent interpersonal skills
Information management and confidentiality
Attention to detail
Use of own Initiative and reliable
Flexibility to live and work in UAE
Fluent in English (verbal and written)
Arabic language (verbal and written) is preferred
Experience in Visa and TECOM processes is a bonus.
Working Arrangements
Standard working hours in the UAE (45 hours per week) Sunday to Thursday or as necessary to complete internal or client lead projects. (Subject to change as per business requirements)
Out of standard hours working as required
