The Executive Assistant role at State Street Global Advisors Dubai is an exciting, challenging, and highly visible role supporting the Managing Director in his roles as Head of Middle East & Legal Entity Head of our 2 local branches. This role demands efficiency, flexibility and excellent interpersonal skills. You will understand competing business priorities and you will have the opportunity to execute in a dynamic environment. You will use your knowledge of corporate policy and process and will exercise full discretion and ensure that confidentiality is maintained.

What You Bring To The Role

You will have strong administrative and organizational skills with the ability to manage calendar, email, coordinate internal and external meetings, conference rooms, correspondence and IT needs.
You will work well under pressure, you will have the ability to set and meet deadlines and you will be a self-starter.
Proficiency in Microsoft Office Suite including Outlook, Word, Excel, Powerpoint.
You will be enthusiastic, have a sense of humor and a can-do approach.
You will be a collaborator and possess the ability to coordinate groups, to devise complex international travel plans and itineraries
You will have the ability to work independently and research and compile materials needed for meetings, calls and projects.
You will be proficient in minute taking at C-level and management meetings/calls
You will have excellent attention to detail.
Core Responsibilities
Provide a full EA service to Head of Middle East & Africa
Diary Management - You will have ownership of the MD’s diary and will manage and prioritize the schedule of activities and engagements exercising discretion and good judgment and engaging in dialogue with relevant partners.
Document Management - You will be responsible for the preparation, management and dissemination of a variety of documents, letters, presentations on behalf of the MD and various other teams, groups and networks.
Legal Entity Board Support - You will liaise with the SSGA UK Limited Company Secretary to facilitate coordination of materials for periodic presentations to the Board of Directors of SSGA UK Limited
You will act as local liaison to our London and Boston-based Compliance, Risk and Finance functions with respect to the preparation/coordination of periodic filings and regulatory reports
Register Maintenance - You will support the Legal Entity Head by maintaining a number of reports and registers in support of good governance and oversight. E.g. Gifts and Entertainment, Client Complaints, Annual Leave entitlements.
Travel Arrangements and Itineraries - You will co-ordinate complex travel arrangements and develop itineraries for international colleagues.
Support the Marketing Function in event management - Preparing invitee lists, issuing invitations, managing itineraries, arranging speakers, organizing dinners and facilitating client registration.
Assist the MD in on-boarding new hires (IT/email account setup, etc.)
Your Skills And Experience
A minimum of 3 years’ experience in a similar role in the financial services industry
Fluency in English is a requirement
Fluency in Modern Standard Arabic a distinct advantage
Excellent social and customer service skills as well as excellent written communication skills.
Experience in a team environment and can develop a strong internal network across regions and functions.
Proven analytical and problem solving ability
