He / She will be responsible for assisting and providing administrative support to the General Manager ensuring the smooth running of the department. Provide executive support to GM, managing personal and professional agenda Prepare all documents and materials necessary for all committee and Board of Directors meeting Prepare all presentations for monthly meetings, Ensured smooth running of the daily administrative activities, keeping updated records of in-coming & out-going correspondence, information flow Scheduled appointments and maintained calendars, arranged conference rooms and facilities for meetings Provide all travel coordination (international/domestic) support Provide exceptional and timely colleagues and customers service primarily through telephone, email, personal interaction, calendars, schedules, invites and document control Maintain conference rooms calendar Assist colleagues administratively typing letters, memos, and reports Coordinate with internal and assets’ stakeholders Develop comprehensive monthly performance report Order and distribute office supplies Schedule site visit and arrange hospitality Coordinate orientation for all new employees. Prepare/coordinate and maintain budget and procurement documentation As an ideal candidate, you must: Have a diploma /certificate in Business Administration or related field Have minimum of 5 year administrative or support experience Have calendar management experience Have travel coordination and meticulous organizational skills Have good project management basic skills Have good written and verbal communication skills Have skills in office technology including PowerPoint and Excel Be able to act as primary contact for Board of Directors, senior management, working closely with executive team to organize schedules facilities and agendas for corporate meetings.
