Job Location: AF Engineering Office - Dubai
Job Purpose
Provision of quality services and ensures that document management system is adhered to in accordance with the approved guidelines and project procedure. To make sure and maintain that all the information in the system are always up to date and can be easily retrieved as and when required, as well as, undertake regular and ad hoc clerical duties as and when required by the Lease Administration/Leasing Manager
Key Accountabilities
Quality check the incoming administrative documents and ensures that the AFGRE standard procedure is being followed.
Coordinate all activities related to the Administrative Document control process of AF Engineering verticals.
Attend to incoming requisition from all internal and external sources and ensure that the entire request is being actioned on time.
Upload document into Project Wise system as required and ensure that the information is accurate and up to date.
Make sure that physical filing is always up to date and can be easily retrieve as and when required.
Make sure that soft filing is always up to date (regionally) and can be easily retrieve as and when required.
Assist on common clerical activities including collecting of information, photocopying, scanning and hardcopy distribution.
Prepare outgoing transmittals to internal & external customers.
Communicate with external companies regarding dispatch & collection of Retail & Commercial Leasing documents.
Assist with raising PR and PO in ERP system.
Coordinate with external printing company staff assigned in AFGRE office for all requirements
Support in LC creation
To proactively engage in all pertinent document control related issues through communication and coordination with the Leasing & Lease Admin, as well as other departments and external customers.
To promote and implement AFGRE document control procedure.
To implement legal document retention procedure
To follow the Retail & Commercial Leasing Policies & Procedures as well as the Leasing/Lease Admin Timelines
Provide quality services to the Internal and external customer and ensure timely delivery was achieved.
